Terrible Orchestra Of the Triangle (RTOOT)
Committees
Management and Welcoming Committee -
These are welcoming type leaders who are very, very good at
encouraging and persuading other people into taking on or doing
important tasks. These people are an inspiration to other to do
their best work in promoting all the activities The Really Terrible
Orchestra Of the Triangle (RTOOT). This committee is the top level
of responsibility for managing the human and financial resources of
in order to achieve the Orchestra’s mission. The committee members
take it upon themselves to supervise and encourage the work of the
other committees. These people use the established committee Task
Lists to actively follow up on the progress of the committees on a
regular basis. This committee may meet from time to time to discuss
ways to encourage the best work from all the committees.
Program
Committee -
The program committee is responsible for preparing and publishing
the program for each concert. The program includes the program
(what are we going to play?), the program notes (background info
about the pieces we are playing), biographical information,
advertisements, distractions such as the Colouring Book, and
acknowledgement of our Patrons, Terrible Patrons, and Really
Terrible Patrons. The Program Committee is also responsible for
selling advertisements in the program booklet, as well as
developing other advertising opportunities, such as ads on the
website or posters in the concert lobby. Advertising revenue must
be accounted for properly and turned over to the Treasury Committee
with a complete audit report.
Media
Committee -
The media committee is responsible for arranging for the recording
of all concerts with high-quality audio and video. This committee
also maintains an audio-video archive of all performances and any
other tapes/CDs/movies/pictures that are produced on behalf of The
Really Terrible Orchestra Of the Triangle (RTOOT). The Media
Committee oversees the production of media, such as the concert CD,
to be made available to the public. This committee also acquires
materials and maintains an archive of any media attention focussed
on The Really Terrible Orchestra Of the Triangle (RTOOT), such as
our Arts Section front-page coverage in the 7 September 2008
N&O, newspaper announcements of our concerts, etc.
Stage Management Committee -
The Stage Management Committee is responsible for setting up and
taking down all equipment at rehearsals and concerts. The hall
should be left in the same state as it was before we arrived. They
also make sure all our equipment is accounted for. When we embark
on our world tour, the stage management committee will be
responsible for the packing and shipment of all necessary
equipment.
Development Committee -
The Development
Committee is responsible for the development, management,
implementation, and evaluation of an overall fundraising program
consistent with the mission of The Really Terrible Orchestra Of the
Triangle (RTOOT). This committee works with orchestra members and
other volunteers to solicit donations from private individuals or
corporations or foundations who wish to be Patrons, Terrible
Patrons, or Really Terrible Patrons. The Development Committee also
develops creative, out-of-the box campaigns, procedures, and
schemes to generate revenue for The Really Terrible Orchestra Of
the Triangle (RTOOT). The Development Committee works closely with
the Information Technology Committee to manage and account for all
monies collected on our secure website towards donations or other
development activities This committee also is responsible for
making grant applications to federal, state, and local government
agencies that provide arts funding; and researching and applying to
private foundations and corporations that provide arts
grants.
Events Management Committee -
The Events Management Committee works closely with the Conductor to
oversee relationships with concert venue management. The Events
Management Committee also plans and coordinates receptions,
parties, cocktail hours, and other social occasions for the benefit
of the players, our Patrons, and our audiences. There should be a
social occasion for our members and honoured guests (such as the
BODORTOOT) at the beginning of each concert season and there should
be a reception for the orchestra members and the audience after
each concert. If possible, wine should be offered at a cash bar
before each concert begins.
Library
Committee -
The Library Committee is responsible for keeping up with all the
printed parts, stamping them upon arrival with The Really Terrible
Orchestra Of the Triangle (RTOOT) stamp, the 9-digit serial number
of the work, and the Stand/Chair on the string music, and stuffing
music in the folders at the beginning of the season. The library
committee collects the music folders after each concert and
accounts for all copies of music that were distributed. The library
committee works with the Music Director and the Information
Technology Committee to set up and manage a database of our
inventory of music.
Treasury
Committee -
The Treasury
Committee collects membership dues and other funds from the
orchestra members and disburses monies required for rental of
rehearsal space, concert space, social occasions, and miscellaneous
orchestra activities. This committee oversees the collection of
funds from Patrons and other contributions. The Treasury Committee
Chair works with the Treasurer of the Board of Directors of The
Really Terrible Orchestra Of the Triangle (BODORTOOT) and the Music
Director to assure that all monies are accounted for properly,
including monies collected through our secure website (working
closely with the Information Technology Committee).
Marketing
Committee -
The Marketing Committee is responsible for publicizing concerts --
as well as the orchestra in general -- through print, radio,
television, posters, emails, word-of-mouth, and any other effective
communications medium. The Marketing Committee also handles
production and sale of tickets, and accounts for ticket revenue.
This committee also works closely with the Information Technology
Committee to manage and account for all monies collected on our
secure website towards ticket sales. This committee designs and
arranges for professional printing of secure (non-reproducible)
tickets. Tickets will be sold by the orchestra members and also
should be placed in local retail outlets in all three of the
Triangle cities. For example, Cameron's in Chapel Hill, Quail Ridge
Books in Raleigh, and The Regulator Bookshop in Durham. Revenue
generated by ticket sales must be accounted for properly and turned
over to the Treasury Committee with a complete audit report.
Information
Technology Committee -
The Information Technology Committee is responsible for the
day-to-day functioning of the website rtoot.org as well as its
ongoing development and evolution. Members of this committee must
have the technical know-how to communicate effectively with the
Assistant Really Terrible Webmastress or other website managers.
This committee works together with the Marketing Committee, the
Advertisement Committee, and the Development Committee to manage
and account for all monies collected on our secure website as
donations, ad revenue, or ticket sales.
